From time to time a customer needs to be moved from one route to another or perhaps added to another route for a limited time to help cover a territory. Below are the best ways to assign customers to reps routes.
Move a single customer from one route to another
- In Trakker go to customers
- find the desired customer
- Go to the Mobile Devices Tab
- In the list you should see the route/rep you want to take off
- Click Multi Load (at the top of the grid)
- Remove the rep from the Right Side (Selected Item List)
- Add the rep from the Left Side (Non-Selected Item List) to the Right Side
- Click Continue
- The next time the devices sync the customer will be added/removed from their devices
Temporarily copy a large list of customers from one route to another
This can be very useful if a rep leaves the company or is on sick leave… so one or more other reps will be temporarily covering all or parts of this route for a time
- In Trakker open Mobile Devices
- Select the route that some, or all, of the customers will be temporarily placed on
- Go to the Customer tab of that Mobile Device
- Click Multi Load (at the top of the grid)

- On the Left Side (Non-Selected Item List) find the Mobile Device column and filter for the rep that is on leave or has left.
- Additional filters can be made on the left side as well for city or zip…
- Once the list on the left is filtered for the desired list click ADD ALL>>
- OR
- Customers can be cherry picked one at a time and added to the right side
- Review that the list on the right (Selected Item List) looks right
- click CONTINUE
- If this is a long list it may take a few minutes. It may even display a message that it timed out and to wait a few minutes and then refresh the grid to see all the changes
- The next time this rep’s mobile device syncs he/she will get the new customers added to their device and their AI SMART Routing will now route these customer for them as well
- Repeat the steps above for any another rep that will be covering for this route
The beauty of this approach is that when the original rep returns or a new rep is hired for this territory again, their route is already defined for this mobile device. And the temporary customers can be easily removed from the other reps routes by doing the following.
Then Move them Back
- In Trakker open Mobile Devices
- Select the temporary route customers were temporarily on
- Go to the Customer tab of that Mobile Device
- Click Multi Load (at the top of the grid)
- This time, look at the Right Side (Selected Item List) and find the Mobile Device Column and filter it for the route the these should be on, because they should currently list 2 routes, the ‘real’ one and the temporary one
- Click << Remove ALL
- All of the customers that were listed on both routes will be removed from this selected list
- Click CONTINUE
- This may take a few minutes if it is a long list, but it will remove those customers from this devices list and the next time the rep synchronizes they will be removed from their list
NOTE: If they were already AI SMART Routed for this temporary rep, those appointments will need to be manually moved from their schedule. But going forward the AI SMART Routing will then be assigning the customers to the ‘original’ route
